Why automate your risk prevention department?
A safety professional should spend their time in the field, identifying hazards and correcting unsafe conditions. In practice, much of the day goes into paperwork: attendance sheets, PPE delivery records, risk matrices in spreadsheets and folders for the next inspection. Automating that paperwork gives that time back to prevention.
1. Regulations require documented management
In Chile, Supreme Decree No. 44 (DS 44) has been in force since February 1, 2025, replacing Decrees 40 and 54 of 1969. Among other things, it requires a hazard identification and risk assessment matrix updated at least once a year, a preventive work program, informing each worker about the risks of their job and training them. All of this is proven with dated, signed records. Other countries have similar requirements.
2. Field signatures stop getting lost
Safety talks, inductions and PPE deliveries are signed on site, often without mobile coverage. With a signature on the phone that syncs when the connection returns, the record reaches the system the same day instead of staying on a sheet that can get wet, get lost or arrive weeks later.
3. Expiration dates send their own reminders
The risk matrix, internal safety rules, recurring trainings and contractor documents all have dates. A system that sends a reminder before each one expires keeps you from finding out in the middle of an inspection.
4. Inspections are prepared in minutes
When the evidence for each site or period is in one place, showing who signed and when, gathering it for a labor inspection or an insurer audit takes minutes instead of days.
5. Information helps you prevent
With records as data instead of paper, you can see which sites have more incidents, which trainings are overdue or which contractors have expired documents. That lets the prevention team decide where to act first.
How to start
The simplest place to start is the most repeated document, usually safety-talk attendance or PPE delivery, and move it to digital signature in the field. Then add the risk matrix, contractor documents and expiration reminders.
